Job Purpose

The Administrative Assistant will be required to perform a variety of administrative and human resource tasks. The Administrative Assistant will also provide support to line managers and ensure the efficient and smooth day-to-day operation of the office/company.

Summary of Key Responsibilities:

  • Making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Screening and directing phone calls
  • Organizing and scheduling appointments
  • With the consultation of the Manager plan meetings and take detailed minutes
  • Assist line managers to handle HR matters ( Screening of applications and preparing interview reports)
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Submit and reconcile expense reports
  • Provide general support to visitors and Key Stakeholders / Partners
  • Act as the point of contact for internal and external clients

Primary Areas of Accountability:

Qualifications and Experience

  • Degree in Human Resource Management/Business Administration/Public Administration
  • Must have a minimum of 3+ years of experience in Administration, working as an Administrative Assistant with Telecoms/Insurance or Financial Institution
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and scanning machines
  • Proficiency in MS Office (Word, Excel and PowerPoint, in particular)
  • Must be young, energetic and flexible
