Sales Administration Officer

Job Description


Job Purpose

The Sales Administration Officer will be responsible for generating vehicle invoices, deal file management and filling, ensures timely reporting of daily sales. Maintain records of sales and compare them with targets to help sales managers and consultants monitor the team’s progress. Regularly communicate with Sales Consultants and Logistics team to ensure smooth sales operations and all processes as per set standards.

Summary of Key Responsibilities;

  • Ensuring all delivered units are Invoiced, all invoices signed by the Sales Manager and filled inappropriate deal files.
  • Posting of Vehicle Additional costs in SAP
  • Responsible for Deal Files Management by ensuring 100% deal file completeness and handing over the deal files to the archives for filling.
  • Preparing and Sending the Month end Sales report
  • Responsible for Circulating the Monthly Exchange Rates in the department
  • Spearhead, mobilise personnel and ensure stock take is done at all outlets
  • Prepare month-end Allocated aged stock report and send to Stocks Accountant
  • Work closely with the sales supply committee in preparation for order meeting
  • Analyse and propose required documents for monthly Sales Supply Committee (monthly order process, including market movement, analyse, rundown, stock and aged stock movement, etc).
  • Prepare the Rundown, production orders and Stock orders in absence of the Sales Planning Team Leader
  • Control, analyse and propose countermeasures for aged stock elimination.
  • Prepare and analyse daily sales reports in the absence of the Sales Planning Team Leader or Sales Planning Administrator.
  • Promote Kaizen Activities in the sales process to realize improvement of the given KPI (e.g. customs clearance achievement, delivery date accomplishment etc…)
  • Assists in marketing activities
  • Work closely with the Business Analyst to ensure model life cycle management
  • Monitor competitor’s product line up and propose countermeasures for the models to remain competitive
  • Prepare recommendations for price adjustment during model life cycle Management.
  • Provide information to Sales Consultants about products
  • Any other duties that may be required from time to time

Primary Areas of Accountability:

Qualifications and Experience:

  • Degree in any Commercial or Engineering Field
  • Must have a minimum of 5 years of work experience in Sales Administration, Logistics and Operations
  • Working experience on a similar job in the auto industry is an added advantage
